Enrolment and fees

All new research students need to complete an enrolment form to enrol as a student of the University. Enrolment is a prerequisite to application for registration for a University research degree, and you will need to maintain your enrolment until conferment of your degree. 

Enrolment will take place in the Graduate Office, Headington Campus, Gipsy Lane from 9am to 5pm, Monday to Friday during the week beginning Monday 17 September 2012. 

We will open until 6.30pm on Wednesday 19 September for any students that cannot make it during office hours.

When you come to enrol you will be asked to complete a course and fee enrolment form. We will process the forms and issue you with your Brookes student card. This will be your evidence that you are a student and entitle you to borrow books from the Library, activate your computer account and use all the facilities of the University.

Verification of qualifications

You are required to provide proof of your higher education qualifications upon entry to the research degree programme (ie first degree, postgraduate or professional qualifications).

Please make sure you bring the original certificate or a certified copy with you when you come to enrol.


University fees

You are not an enrolled student of the University until your fees are paid. It is the University's policy to exclude any student who defaults on the payment of fees. Details of full-time and part-time research degree fees for the academic year 2012/2013 can be found on our fee schedule.

Staff fees

If you are a permanent member of staff, with a contract in place before enrolling for a part-time research degree, your fees will be waived. If this is the case, please complete a fee waiver form for 2012/2013; obtain the necessary signature; and bring the completed form with you when you come to enrol. If, when you enrol, you already have a fixed-term contract of at least 0.5 FTE at Brookes, which will run continuously for the duration of your research programme (eg MPhil/PhD minimum 4 years), you should also be eligible to have your fees waived.

Staff in the Business School are required to make an application for Staff Development Funding and should contact a member of HR in the Business School prior to enrolment.

University Research Studentship

Fees will also be waived if you are funded by a University research studentship. In this case you do not require a fee waiver form.


Payment / proof of funding

Research Council funding, employer sponsorship and other sponsorship

If you are receiving a grant to cover the fees from a Research Council or other grant-awarding body, you must bring with you written notification of the award from the funding body.

If your fees are being paid by your employer or another sponsor, you must bring a letter from them confirming the sponsorship. If there is subsequently any difficulty in the University obtaining payment of the fees, you will be required to pay the fees yourself on demand and to reclaim the money from the awarding body when the details of your grant or sponsorship are settled.

Self funded students

If you are responsible for payment of your fees, you must pay them on enrolment.

Self-financed students in good financial standing are normally offered the opportunity of paying their fees in two instalments - by credit/debit card. All instalment agreements must be completed at enrolment. The first instalment payment must be received to enable you to enrol. The second instalment is due in January 2013.

If you are unable to pay your fees by the methods indicated above then it is possible to pay in full by cheque. Cheques should be made payable to Oxford Brookes University. We cannot accept post dated cheques.

 


Photo upload

Your library/ID card will include a digital image of you. You are required to upload this image onto your Personal Information Portal (PIP) page prior to enrolment so that the card can be made up ready for your arrival. To access PIP please go to https://kmis.brookes.ac.uk/csms/wprin_menu.main and log on using your Applicant Number and the password that you have been sent with your enrolment instructions. Once you have logged in there is a tab at the top of the screen entitled ‘View/Upload My Photo’, click on this and follow the instructions. The deadline to upload your photo is Friday 9 September. If you have not uploaded your photo prior to arriving for enrolment you will have to go and have your photograph taken manually and the card will be made up after enrolment. It would also be useful if you could bring one passport sized photograph with you to enrolment.

You will see that on PIP there are also instructions for enrolment and a link for online enrolment. These do not relate to Research Degree students therefore please ignore these and follow the instructions you receive by post. Please do not enrol online otherwise it may lead to difficulties in processing your enrolment. The Graduate Office is the primary contact for Research Students therefore please do not contact the Academic Management Office regarding your enrolment.
 

 


Passport / ID card

All International students should bring their passport, and where applicable ID cards with them to enrolment as the University is now required to keep scanned copies of these documents as part of the UK BA Points Based System.

 


Enrolment checklist

Please ensure that when you come to enrol you have the following:

1. a) the completed and signed tuition fee waiver form or authorised staff development funding application; or

    b) evidence that you have been awarded a studentship; or

    c) a letter from your employer or sponsor confirming that they will be paying your fees if they want to be invoiced directly by the Income Office; or

    d) credit/debit card details or bank account details for a direct debit mandate;

2.   proof of your degree qualifications;

3.   one passport sized photograph;

4.   all International students must bring their Passport and ID Card.


Subsequent enrolment

Please note you will be expected to keep your library card for the duration of your research degree programme. You will, however, be required to check your enrolment record and complete fee enrolment on an annual basis in September.
