An Oxford Brookes University graduation ceremony is both a public recognition of academic awards, and a celebration of the individual's and the university's achievements. This is a very special day for you and your family and we hope that you enjoy your celebrations.

Publication of information

The names of all graduates who have been awarded by Oxford Brookes University

appear in the university's Awards List for the ceremony they have registered to attend. Each graduate attending a graduation ceremony is given an Awards List, free of charge, on the day.

If you wish your name and award to be removed from the Awards List, please email graduation@brookes.ac.uk at least three weeks prior to your ceremony, giving your student number, full name, award title and clearly confirming that you wish to be removed from this publication.
When attending a graduation ceremony you and your guests should be aware of the following:

  • There will be a professional video recording taken of each graduation ceremony, this will be streamed on the internet and will be available for purchase on DVD after the ceremony. Graduates and guests seated in the Main Hall should be aware that they might appear on this recording.
  • During the day professional photographers will be taking photographs and these may be used in the university's future promotional literature. If you do not wish your photograph to be used for such purposes, please inform the photographer on the day.
  • The graduation T-shirt, baseball T-shirt and hoodie ranges that are available for sale have the names of all the students attending the graduation ceremony printed on them. This does not include award titles or any other information.

Debts to the university

If you have any outstanding debts to the university you will not be eligible to attend

your graduation ceremony. Debts to the university include unpaid academic fees, residence fees, library fines, nursery fees and so on. If you are concerned about any debts that you may have to the university, you should contact either the relevant department or the Students' Union Advice Centre.

Ticket collection

on Headington Campus, Gipsy Lane site to register for the ceremony and collect your ticket and any pre-booked guest tickets. You will also be able to purchase tickets on the day subject to availability form the Help Desk BG01. You must have registered for the ceremony in order to collect tickets. The rooms are BG01 or BG04 (Buckley Building) depending on your family name - notices will be displayed to help you find your way.

Please note: tickets may only be collected by the graduate and photographic ID will be required.

At this stage you should very carefully check the details on your ticket. Is your name correct, is your award title correct etc? If there is any information that is wrong please go to the Help Desk in BG01, Buckley Building.

It is very important that you keep your ticket safe as this will be used during the ceremony (you will be asked to hand your ticket to an usher for the Reader to announce your name).

You will see a seat number on your ticket; graduates are seated in order of presentation, so it is essential that you sit in this seat so that you are presented at the correct time.

Guest tickets do not have allocated seat numbers, so your guests can sit in any seat that is not reserved.

Give your guest tickets to your guests; they must keep them safe, as there is no entry without a ticket.

Galliano’s on Headington Campus, Gipsy Lane site. Ede and Ravenscoft staff are here to advise and/or help you put on your academic dress correctly. You are advised to bring some hair clips and safety pins, as these are sometimes needed to keep mortarboards and hoods secure.
Please remember to bring your receipt for reference. If you ordered your robe on-line, please print your acknowledgement form and bring it with you.

Academic dress must be returned to Galliano’s on the day of your ceremony. You should confirm with Ede and Ravenscroft staff by what time they expect the return to be made.

Late arrivals

you should go immediately to the Help Desk in room BG01 in Buckley Building. The staff member will then decide on the best course of action.  If you arrive with less than 10 minutes before your graduation ceremony then you should go immediately to the main reception where a member of staff will be located with your tickets.

If you are not too late, we will make every effort to get you and your guests seated in the Main Hall between speeches - any guests for whom extra guest tickets have been pre-ordered for the live video link theatre or family room should make their way to the appropriate room where the usher will make every effort to get these guests seated. 

If the presentation of awards is already underway, and your ceremony is not in the evening, we may be able to accommodate you in a later ceremony, however please note this will be subject to space being available and the ceremony may not be for your school.

Children on campus

Parents/guardians are responsible for their children while they are on university

Please ensure that extra care is taken in areas of higher risk, for example by stairwells or around construction areas.

please contact an usher if you need assistance.  If you require medical attention outside of this time but while still on campus please contact the staff member responsible for the room or the Gipsy Lane main reception on +44 (0)1865 483058.

Should an accident, theft or other incident occur on university premises it must be reported without delay to the staff member responsible for the room or to the Gipsy Lane main reception.

Emergency procedures
