Procedure for dealing with vacancies

The FacultyDirectorate will identify a potential vacancy and complete an Advertising Pack (Word 221KB).

The pack should be emailed to the relevant link HR Manager. They will review the job description and person specification content and once finalised will refer the grading of the post to the Grading Review panel. The Reward team will confirm the grade of the post to the appropriate recruiting manager. The Grading Review panel will meet monthly. If the job description is unchanged, the evaluation will require a brief check by this panel. Please allow for grading panel dates when considering your recruitment, it is advised that to allow or appropriate discussion you talk about recruitment needs with your link HR Manager as soon as possible in your planning process.

Advertising checklists should be printed, signed by the Dean/Director and the relevant Management Accountant in the Directorate of Finance and Legal Services. You are reminded that Finance requires at least three days for considering these.

SMT will forward the pack to Human Resources. NB: vacancies will not be advertised until the signed checklist has been received in HR at Wheatley.The post will be referred to Bob Price, Director of HR who will decide whether the post should be “held” for consideration by any of those on the redeployment list. This is decided on the basis of whether the member of staff will be able to fulfil the duties and responsibillities after a reasonable period of adjustment and retraining. If the post is not held, it will be processed for advertising.

Details of held posts will be notified to relevant redeployees for consideration. They will have a week in which to let HR know whether they are interested in any of the jobs.

Where appropriate, HR Managers will liaise with Faculties/Directorates to arrange for redeployees to be interviewed. The outcome of the interview will be reported to the Redeployment Committee. If the HR Manager and the Faculty/Directorate think the redeployee is not suitable for the job, they must provide detailed written feedback to the Committee.

When there are no interested redeployees, or the Redeployment Committee agrees that a redeployee is not appointable, the post will be processed for advertising.

HR will inform Faculties/Directorates about the progress of vacancies throughout these processes.
