Transferring references from databases into EndNote desktop

  • It's possible to transfer references from many databases into EndNote. Methods vary, with some offering a direct export option, while others require you to save a file of references and then import it into your EndNote Web library. Below is a list of the Library databases which we have tested and which work with EndNote Web, with full instructions for each. These have been written to support EndNote X7. If you are using other versions of EndNote most of the instructions will work as described. If you have not yet used import filters or direct export read more about the import process before you start.

    EndNote allows you to store PDFs alongside the associated references in your library - see our instructions on attaching PDFs to EndNote records for more information.

    If the database you want to export records from is not listed please contact your Academic Liaison Librarian.

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on ' Attaching files to existing EndNote records'

    Connect to Academic Search Complete

    • When you have found a reference you want to download from ACM Digital Library, click on the title of the reference.
    • When the full details are displayed, in 'Tools and resources', under 'Export formats', click 'EndNote'. A new window will open, displaying the reference (note that abstract and keywords are not included).
    • If you do not see a 'Download' link in the new window, scroll down the text until it appears - it's always located at the bottom of the text in the window. Click on 'Download' and 'Save' the file to import later or to import into EndNote Web. If the PC you are using has EndNote installed on it, click on 'Open' to immediately import into EndNote (it will be placed in the 'Imported References' group).
    • If you have saved the file, open your EndNote library and import the saved file using EndNote Import as the Import Option.
    • The imported records will be shown on the screen. Check that the records have imported correctly and edit if necessary. Note particularly that in some records additional text may appear in the Author field which may need removing and that the DOI (Digital Object Identifier) information is entered at the end of the article title field - you will need to move this information to the URL field.

    Connect to ACM Digital Library

    • Select your references and click on 'Export'.
    • Change 'Export to' to EndNote.
    • Select 'Complete reference' and click 'Export citation(s)'.
    • If you have EndNote on your PC, the records will be directly imported into EndNote (the EndNote program will start if it has not already been opened).
    • If you do not have EndNote on your PC, save the citation file, and import into EndNote using the filter OvidSP Brookes.
    • If you are using EndNote on your own PC you will need to download this filter (requires a Brookes login) and save it in your EndNote Filters folder.

    Connect to AMED

    • Enter your search'.
    • On the search results page, select the items you are interested in by clicking in the checkbox next to a reference.
    • Click on the "EN" EndNote icon to download a file containing the references you have selected.
    • Open EndNote and import the references using the EndNote Import filter.

    Connect to Anthropological Index Online

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on ' Attaching files to existing EndNote records'

    Connect to Art Full Text

    • Set your browser to allow pop-ups - ProQuest opens exports in a new window, which some browsers interpret as a pop-up window. The option for permitting pop-ups will be available in the Tools or Preference settings of your browser.
    • Select your references and click on 'Export/Save'.
    • Export to 'EndNote, Citavi or Reference Manager'. Click 'Continue'.
    • Either 'Save' the file for importing later or 'Open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on 'Attaching files to existing EndNote records'.

    Connect to ASSIA

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on 'Attaching files to existing EndNote records'

    Connect to Avery Index to Architectural Periodicals

    • Enter your search.
    • View an individual record.
    • Click on 'Actions' to reveal the drop-down list of options.
    • Select 'Export RIS' (do not select the EndNote option - this is for EndNote Web only).
    • Click on OK when prompted.
    • Save the file.
    • Import into EndNote using the RefMan RIS filter.

    Connect to Bibliography of the History of Art

    If you have EndNote on your PC:

    • Launch EndNote before starting your search. Open your EndNote library.
    • Open Biomed Central and complete a search. If you do not see a checkbox next to each record in your set of search results, click on the 'Display/download options button'
    • When you have selected your references, next to the Send box, select 'EndNote, Zotero or Papers' and click 'Send'.
    • A dialog box will open asking if you want to open or save the file. Choose Open and the records will be imported.

    If you do not have EndNote on your PC:

    • When you have selected your references, next to the Send box, select 'EndNote, Zotero or Papers' and click 'Send'.
    • A dialog box will open asking if you want to open or save the file. Choose Save.
    • When you are using EndNote, open your library and import the saved file using EndNote Import as the Import Option.

    Connect to BioMed Central

    There are two different methods importing content from this database into EndNote. The one you need to follow depends on the route used to access the database. Please select the appropriate method from the choices outlined below.

    1. Access via the Brookes library database pages.

    • Run a search on the database, then view an individual record. Click on the Download icon at top of screen and choose 'Download citation as RIS'.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

     

    2. Access via a specific journal title from the Library's A - Z of e-journals pages

    • Search for the journal title on the A - Z of e-journals and view an article of interest.
    • Under the 'Tools' section on the right hand side of the page select the option to 'Export citations'.
    • Click on the option for 'EndNote'. This will download a file to your PC containing the citation. This file will end .enw.
    • Go to your EndNote Desktop library and import the saved file using EndNote import option. If the file type downloaded ends .ris, use the Reference Manager (RIS) option instead.

    Connect to Brill Journal Archive

    • After marking records, click the 'Marked items' link towards the top of the screen to view a list of only the entries you have selected.
    • Three choices are now available - print, download, or e-mail the records, and each action has a corresponding icon. To download the bibliographic details for each record, click on the floppy disc icon or the download link. This opens a dialogue box - click the download link to continue. To e-mail the bibliographic details for each record, click on the envelope icon, add your e-mail address to the "Mail to" box and click the send link.
    • Open Endnote and create a new blank record. We will need to manually add the data from the Times Digital Archive e-mail (or download) into EndNote.
    • When the email arrives, copy and paste the text of the appropriate fields for the first record into the new blank record you have created in EndNote. You will need to copy and paste each field, one at at time, for each record you wish to add to EndNote.

    Connect to British Newspapers 1600 - 1900

  • Set your browser to allow pop-ups - ProQuest opens exports in a new window, which some browsers interpret as a pop-up window. The option for permitting pop-ups will be available in the Tools or Preference settings of your browser.
  • Select your references and click on 'Export/Save'.
  • Export to 'EndNote, Citavi or Reference Manager'. Click 'Continue'.
  • Either 'Save' the file for importing later or 'Open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
  • If you 'Open' the file, the automatic fulltext search will not run - see instructions on 'Attaching files to existing EndNote records'.
  • Connect to British Nursing Database

  • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
  • Select 'export', then 'direct export in RIS format'. Click 'save'.
  • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.

Connect to British Education Index

    • Please note that some references may not import correctly eg books, book chapters, magazine articles, conference papers etc and will therefore need amending to create a bibliography.

    Connect to British Periodicals

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.

    Connect to Business Source Complete

    • Run search on database, then view an individual record. Click on the Download icon at top of screen and choose 'Download citation as RIS'.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

    Connect to Cambridge Journals Digital Archive

    • Select the articles you want to export by ticking the check box NB you cannot select or export book chapters.
    • Click on the 'Export Citations' button at the top of the results list.
    • At the Export citations screen, select 'yes' if you want to export the abstract as well as the citation.
    • Select 'EndNote' and then click on the 'Export' button.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using EndNote Import as the import option.

    Connect to Cambridge Journals Online

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.

    Connect to Child Development & Adolescent Studies

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on 'Attaching files to existing EndNote records'

    Connect to CINAHL

    • Select your references and scroll to the bottom of the screen, then click on 'export selected citations'.
    • Change the export type to 'abstract and citation', then click on 'export citation'.
    • A dialog box will open asking if you want to open or save the file. Choose Save.
    • Import into EndNote using the import filter Cochrane - the import filter supplied with EndNote (Cochrane Library) does not work very well. If you are on your own PC you will need to download this filter from our intranet (requires a Brookes login) and save it in your EndNote Filters folder.

    Connect to Cochrane Library

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.

    Connect to Communication & Mass Media Complete

    To export individual records:

    • Run search on catalogue, then view an individual record.
    • Check the 'Export as' option underneath the record is set to EndNote, Zotero and click on Export.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

    To export a batch of records:

    • Click the sign in button at the top of the page. Enter Oxford Brookes University as your institution and click Continue.
    • Login with your OBU username and password.
    • Run your search and add items to your references by clicking on the paperclip symbol next to the title.
    • Click on the 'My references' icon at the top left of screen to view all saved items.
    • Check the 'Export as' option is set to EndNote, Zotero and click on Export.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

    Connect to COPAC

     

    • Run search on database, then view an individual record. Click on the Download icon at top of screen and choose 'Download citation as RIS'.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

     

    Connect to EEBO

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.

    Connect to EconLit

    Connect to Educational Administration Abstracts

    • Run search on database, then view an individual record. Click on the Download icon at top of screen and choose 'Download citation as RIS'.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

    Connect to Eighteenth century collections online (EECO)

    • Either select some records by using the checkboxes provided or add records to a marked list.
    • From the dropdown list marked 'For selected items' select the option to 'Download citation' (if you are using a marked list, you will need to go to the marked list before selecting the download option).
    • From the list of format options, select 'EndNote'.
    • Click the 'Download article citation data' button to save your file, or to import directly if you are offered the option within your browser. If you import directly, the records will be added to your imported references group in your EndNote library.
    • Import into EndNote using the import filter EndNote Import if you have chosen to save the file rather than import directly.

    Connect to Emerald Fulltext

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on 'Attaching files to existing EndNote records'

    Connect to ERIC

    • Run search, then select records by clicking on the star symbol below the citation.  NB you will be prompted to login to Google if not logged in already.
    • Click on My library (top right of screen).  Select the records you wish to import.
    • Click on the download symbol top of screen and select EndNote.  (A dialog box may open asking if you wish to save or open the file.  Click 'Save' - give it a name and save to folder of your choice).
    • Import these into your EndNote library using the import filter EndNote Import.

    Connect to Google Scholar

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on 'Attaching files to existing EndNote records'

    Connect to GreenFILE

    If you have EndNote on your PC:

    • Launch EndNote before starting your search. Open your EndNote library .
    • From the Search Results screen, choose the 'Download to citation manager' option (in the 'For checked items' box). Click 'Go'.
    • From the Selected Citations screen, click 'Download citations to citation manager'.
    • From the Download Directly to Citation Manager screen, click 'EndNote' (you may then have to click "Open" if you are using Internet Explorer).
    • The imported records will be shown on the screen.

    If you do not have EndNote on your PC:

    • From the Search Results screen, choose the 'Download to citation manager' option (in the 'For checked items' box). Click 'Go'.
    • From the Selected Citations screen, click 'Download citations to citation manager'.
    • From the Download Directly to Citation Manager screen, click 'EndNote'.
    • A dialog box will open asking if you wish to save or open the file. Click Save and a Save As dialog box will open. Save the file with the extension .enw.
    • When you are using EndNote, open your library and import the saved file using EndNote Import as the Import Option.

    Connect to HighWire Press

    • Select your references and click on 'Export'.
    • Change 'Export to' to EndNote.
    • Select 'Complete reference' and click 'Export citation(s)'.
    • If you have EndNote on your PC, a dialog box will open asking you to select your library. Another box will ask you which filter to use: select the filter OvidSP Brookes. You may need to check imported records as the filter does not work perfectly - volume, issue and date information may be missing
    • If you do not have EndNote on your PC, save the citation file, and import into EndNote using the filter OvidSP Brookes.
    • If you are using EndNote on your own PC you will need to download this filter from our intranet (requires a Brookes login) and save it in your EndNote Filters folder. You may need to check imported records as the filter does not work perfectly - volume, issue and date information may be missing.

    Connect to HMIC

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on 'Attaching files to existing EndNote records'

    Connect to Historical Abstracts

    • Run search on database, then view an individual record. Click on the Download icon at top of screen and choose 'Download citation as RIS'.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

    Connect to Historical Texts

    • Add references to a folder by clicking on the folder icon displayed on a record. When you’ve finished, click on the 'Go to folder' link at the top of the screen to view the contents.
    • Select 'export', then 'direct export in RIS format'. Click 'save'.
    • Either 'save' the file for importing later, or 'open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on 'Attaching files to existing EndNote records'

    Connect to Hospitality and Tourism Complete

    If you have EndNote on your PC:

    • Launch EndNote before starting your search. Open your EndNote library.
    • From the Marked List select 'download'. Then select 'Export directly to Procite, EndNote or Reference Manager' and then Open (with EndNote if prompted).
    • The imported records will be shown on the screen.

    If you do not have EndNote on your PC:

    • From the Marked List select 'download'. Then select 'Download in a format compatible with ProCite, EndNote, Reference Manager or RefWorks'.
    • A dialog box will open asking if you wish to save or open the file. Click Save and a Save As dialog box will open. Save the file as a text file (*.txt).
    • When you are using EndNote, open your library and import the saved file using RefMan RIS as the import option.

    Connect to House of Commons Parliamentary Papers

    • Set your browser to allow pop-ups - ProQuest opens exports in a new window, which some browsers interpret as a pop-up window. The option for permitting pop-ups will be available in the Tools or Preference settings of your browser.
    • Select your references and click on 'Export/Save'.
    • Export to 'EndNote, Citavi or Reference Manager'. Click 'Continue'.
    • Either 'Save' the file for importing later or 'Open with' EndNote for immediate import. If saving and importing into EndNote, use the Reference Manager (RIS) import filter.
    • Please note that some references may not import correctly eg books, book chapters, magazine articles, conference papers etc and will therefore need amending to create a bibliography.
    • If you 'Open' the file, the automatic fulltext search will not run - see instructions on 'Attaching files to existing EndNote records'.

    Connect to IBSS

    • Enter your search'.
    • Select the articles you want to export and click on 'Download citations' at the top of the results list.
    • Change 'Include' to 'Citations & Abstract' if required (the default is citation only)
    • Change 'Format' to 'Endnote, Procite, Refman'. Click 'Download'.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

    Connect to IEEE Xplore Digital Library

    The export to EndNote option offered does not work very well, so we suggest you save and import your results.

    • Click on Export options in the Tools section on the right of the screen.
    • Choose the 'EndNote'' option.
    • Save the file.
    • Open your EndNote library and import the saved file using the Reference Manager (RIS) import filter.

    Connect to IngentaConnect

    • Run search on database, then view an individual record. Click on the Download icon at top of screen and choose 'Download citation as RIS'.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

    Connect to Institute of Physics Journal Archive

    • Run search on database, then view an individual record. Click on the Download icon at top of screen and choose 'Download citation as RIS'.
    • Save the file - give it a name and save to folder of your choice.
    • Go to your EndNote Desktop library and import the saved file using Reference Manager (RIS) as the import option.

    Connect to Institution of Civil Engineers Virtual Library Archive

    • Set your browser to allow pop-ups - ProQuest opens exports in a new window, which some browsers interpret as a pop-up window. The option for permitting pop-ups will be available in the Tools or Preference settings of your browser.
    • Select your references and click on 'Export/Save'.
    • Export to 'EndNote, Citavi or Reference Manager'. Click 'Continue'.

    The PubMed filter supplied with EndNote (PubMed (NLM)) only imports abbreviated journal titles. We have provided an amended version of the filter, which imports journal titles in full, as an alternative. This amended filter is called PubMed (Brookes) and it has been installed on pooled room and Library networked PCs. If you are using a PC in your office or at home, you will need to download the PubMed (Brookes) filter from our Intranet (requires a Brookes login) and save it in your EndNote filters folder.

    • Run your search on PubMed and select your references by clicking in the check box next to each. Click on the drop-down arrow next to the blue Send to link on the right just above the results.
    • In the Choose Destination box which pops up, select File. From the drop-down menu next to Format choose MEDLINE. Click on Create File and save the file.
    • Import the file into EndNote using the PubMed (NLM) import filter or PubMed (Brookes) if you want to import the full journal title of your reference.
    • The imported records will be shown on the screen. Check that the records have imported correctly and edit if necessary. At this stage you can also add any additional information you wish eg keywords, source of data.
    • This import filter does not import the URL. You can use online search to search PubMed and transfer records (including the URL) into EndNote . If you have not used online search before, read our notes about online search .

    Connect to Medline

    • Three choices are now available - print, download, or e-mail the records, and each action has a corresponding icon. To download the bibliographic details for each record, click on the floppy disc icon or the download link. This opens a dialogue box - click the download link to continue. To e-mail the bibliographic details for each record, click on the envelope icon, add your e-mail address to the "Mail to" box and click the send link.
    • Open Endnote and create a new blank record. We will need to manually add the data from the Times Digital Archive e-mail (or download) into EndNote.
    • When the email arrives, copy and paste the text of the appropriate fields for the first record into the new blank record you have created in EndNote. You will need to copy and paste each field, one at at time, for each record you wish to add to EndNote.

If you are on your own PC you will need to download this filter from our intranet (requires a Brookes login) and save it in your EndNote Filters folder.
