  • Stage 3: Delivery Proposals

    How you will go about it, when it will happen and who will be involved

    This stage is focused on the practical planning of the project. The elements of the plan being brought together to form the Project Initiation Document (PID) .

    The PID forms the contract between the Project Manager and the Project Board. It is a live document updated periodically, with board approval, to reflect the current status of the project.

    Key stakeholders will be actively engaged and input into the development of the PID documentation and supporting plans. Collaboration with others will help to form more robust and realistic plans and identify risks.

    Any changes to the definition and scope of the project can only be approved by the Project Board. If detailed planning activity reveals necessary or desirable changes then a Change Request needs to be raised.

    Realistic plans are critical to achieving a successful project.

    Key actions

    • Create Project plan (Timeline and Resource Plan) and ensure in place that suppliers and users accept it as realistic (e.g. accounts for resource availability and an assessment of effort/time to complete work)
    • Work with stakeholders to establish dependencies and critical path.
    • Suppliers begin development of detailed technical specification based on Customer Quality Requirements & Acceptance Criteria
    • Carry out stakeholder mapping and use findings to develop a Communication Plan which stakeholders agree meets their needs
    • Working with the Sponsor, ensure the Benefits Management Plan is created and approved
    • Sponsor and Project Board to approve PID
    • Ensure users are confident that monitoring and control processes will support delivery to the required quality
    • Ensure suppliers are confident that they understand and can deliver requirements and can now develop technical plans for delivery
