Information for staff

The University Timetabling and Room Bookings team is responsible for one-off bookings of University space on behalf of staff and students. Oxford Brookes Venues handles bookings for external clients for conferences, summer schools or other external purposes.

For bookings relating to the timetabling of teaching activity, please see our Timetabling webpages.

In the event that a visiting speaker is attending the University, please refer to the Code of Practice on Freedom of Speech including Guidance on Visiting Speakers. You are required to complete the External Speaker Request Form in advance of the event taking place.

Making one-off room bookings

The University permits staff to book rooms for one-off University events (for example meetings, workshops or staff training sessions). Staff are not charged for these bookings.

Where a booking is made, either by an internal or external party, and a charge is applied, or the booking is for personal purposes, then a hire fee for the room will be charged to the event organiser and the booking should be processed through Oxford Brookes Venues.

An example situation may be a workshop organised by a Brookes academic department or member of staff where there is a charge for attending the workshop.

How to make a one-off room booking

For meeting rooms, please use CMISGo (online room booking system).

For all other rooms (for example, classrooms, lecture theatres, computer rooms etc), please contact the Timetabling and Room Bookings team directly.

Cancel or amend a booking

If you need to cancel or amend a booking under your name, please use CMISGo (Bookings > My bookings). If the room was booked by someone else, please contact the Timetabling and Room Bookings team.
