Commission

• You must check that students have fully enrolled at the University. Students are considered fully enrolled 4 weeks after the start of the first semester.
• Oxford Brookes can only pay commission on fully enrolled students.

Sponsored students

Sponsored students are enrolled if they have completed online enrolment but they are not fully enrolled until their sponsor has guaranteed to pay their tuition fees. Oxford Brookes is unable to pay commission until students are fully enrolled.

Students are required to provide finance with the original official sponsor registration letter before a tuition fee can be identified.  

In the event that a student fails to provide the original official sponsor registration letter then there could be a delay in the commission payment.

Commission claims submitted using the attached Commission Claim Form (Excel) will be verified by the Contract & Commissions Officer and reported back to the representative. It is important that all fields are completed for each student claimed, missing or inaccurate data could delay the processing and payment of claims.

• Commission Claim Form (Excel) A key field on the Commission Claim Form is the student ID or application number which will help to validate the student without further investigation. If you have any issues when downloading or completing the form, please contact repcontracts@brookes.ac.uk.
• If two Representatives are claiming commission for the same student on the same course, then the entitlement to the commission will be at the sole discretion of Oxford Brookes University. The University's decision on the matter shall be final.
• Claims should be sent to repcontracts@brookes.ac.uk for attention of the Contract & Commissions Officer.

• No commission payments will be made to representatives for the existing progression agreement between Oxford Brookes University and Brickfields Asia College Malaysia. • No commission payments will be made to representatives for the existing progression agreement between Oxford Brookes University and Nanfang College of Sun Yat-sen University for MSc International Real Estate. For more information, please contact Dr Cao, email: jcao@brookes.ac.uk.
• No commission payments will be made in instances where students are UK nationals living outside of the UK who also have dual nationality and are eligible for Home fees.
• In order to claim commission, the Representative must be in possession of a signed contract with the university which is in date.

• The information given below outlines the procedure and documentation required for claiming of Commission from the University. As proof of involvement in student counselling the following documentations will be required:
  1. Signed student declaration (Student Representative Authorisation Form) sent to repcontracts@brookes.ac.uk.
  2. Submitted application through Agent portal login.
  3.  Undergraduate students - The Representative's details given as part of the correspondence address in the UCAS application or, a copy of the elctronic front page of the UCAS application endorsed with the Representative's stamp and code or, copy of the offer letter for the actual year of entry.
• If the student submits a direct application, the student will be able to tag the Representative on the portal.

If a student requests to change representatives the following guidelines apply:

When submitting an invoice to the Contracts and Commissions Officer for agreed claims, the invoice must include:

• Addressed to: Oxford Brookes University, Gipsy Lane, Headington, OX3 0BP
• A unique invoice number
• The unique purchase order number supplied by Oxford Brookes University
• The date the invoice was raised
• The total value of the claim with supporting information included in the invoice body e.g. "January 2024 Commission Claim"
• Full details of the bank account that the commission is to be paid to.  Please let us know in good time of any changes to your bank details, company name or address.

We will endeavor to process your commission claim as quickly as possible. We aim to process all correctly submitted claims within 14 days. Once the claim has been checked and the purchase order has been raised, you will be notified of the PO number to include on your invoice. The invoice will be paid on the next financial payment run which occurs weekly.

Note: Commission can only paid to representatives that are working with Oxford Brookes under current agreements.
