Information for staff

The University Timetabling and Room Bookings team is responsible for bookings of University space on behalf of staff and students. Oxford Brookes Venues handles bookings for external clients for conferences, summer schools or other external purposes.

For bookings relating to the timetabling of teaching activity, please see our Timetabling webpages.

Events must comply with the University's Code of Practice on Freedom of Speech policy. For external speakers, you are required to complete the External Speaker Request Form in advance of the event taking place.

Making one-off room bookings

The University permits staff to book rooms for one-off University events (for example meetings, workshops or staff training sessions). Staff are not charged for these bookings. Bookings made through the Timetabling and Room Bookings team require a minimum of 2 working days' notice.

Where a booking is made, either by an internal or external party, and a charge is applied, or the booking is for personal purposes, then a hire fee for the room will be charged to the event organiser and the booking should be processed through Oxford Brookes Venues.

An example situation may be a workshop organised by a Brookes academic department or member of staff where there is a charge for attending the workshop.

How to make a one-off room booking

Staff can book meeting rooms via Plan and Book in TimeEdit

For all other rooms (for example, classrooms, lecture theatres, computer rooms, etc), please submit a Room Bookings Request Form.

Cancel or amend a booking

If you need to cancel or amend a booking under your name, please use TimeEdit (Plan and Book > My Reservations). If you are unable to cancel or amend a booking that you've made via TimeEdit, please contact the Room Bookings team via email. Alternatively, if you wish to cancel a booking that's been made using the Room Bookings Request Form, you can request a cancellation or amendment by simply replying to the most recent email attached to the ticket.
