Student Committees

The President is a crucial role. The position is at the helm of the club and steers its future direction whilst being an ambassador for Oxford Brookes University and Brookes Sport. 

Main responsibilities:

• Chair club meetings including committee meetings

• Main point of liason between the club and Brookes Sport

• Promote the Brookes Behaviour Policy and adhere to the Brookes Sport Behavioural Contract within the club and practice anti-discriminatory practice

• Complete and implement a Club Development Plan

• Lead and support the committee

• Represent your club at Brookes Sport meetings and events

• Have a clear understanding of everyone’s roles and responsibilities in the committee and delegate accordingly

• Work with Brookes Sport to manage any conflict: declaring, recording and managing these appropriately

The Vice President is a pivotal role. It is the central point of club administration, whilst being the deputy figurehead. It is a high-profile role that has a major impact on the efficient and effective management of the club.

Main responsibilities:

• Deputise for the President in their absence

• Principal administrator for the club

• Promote the Brookes Behaviour Policy and adhere to the Brookes Sport Behavioural Contract within the club and practice anti-discriminatory practice

• Prepare and distribute the committee agenda and minutes

• Carry out the administrative duties of the club (i.e. Competition entries, player registration, booking stalls at Sports Freshers Fair)

• Work alongside the Treasurer to ensure Memberships are up to date

• Organise and attend the committee meetings 

• Review the Club Development Plan, ensuring completion

• Work with Brookes Sport to support the President in managing any conflict: declaring, recording and managing these appropriately

The Treasurer is a key role with responsibility for the ongoing monitoring of the club’s accounts and finances assigned by Brookes Sport. The Treasurer may also communicate and collaborate with other members of the committee to plan social activities and events for club members.

Main responsibilities:

• Monitor the club’s income and expenditure in accordance with Brookes Sport’s procedures

• Ensure all income and expenditure is tracked and up to date

• Work alongside the Vice President to ensure membership and subscriptions are up to date

• Source Sponsorship for the club

• Report regularly to the committee on the club’s financial position

• Attend committee meetings and the Annual General Meeting (AGM)

• Prepare and arrange for year-end statement of accounts to be presented at the AGM

• Arrange handover or succession planning for the position

• Be actively involved in creating and following the Club Development Plan

• Support the efficient running of the club

The Wellbeing Officer is an essential role.  The role is to assist in providing a friendly, warm and welcoming environment alongside signposting students who are struggling with the pressures of university life to the appropriate Brookes Sport or university service.

Main responsibilities:

• To be the first point of contact for students where concerns about welfare, poor practice or abuse are identified

•  Promote the Brookes Behaviour Policy and adhere to the Brookes Sport Behavioural Contract within the club and practice anti-discriminatory practice

•  Ensure confidentiality is maintained

•  Work with Brookes Sport to manage any conflict: declaring, recording and managing these appropriately

The Marketing & Communications officer is an important part of the club because it promotes the activities with the aim of increasing engagement in the sport, showcasing successes and improving the club’s reputation.

Main responsibilities:

• Raise the profile of the club in the community (both internal and external)

• Maximise the club’s marketing/promotional activities

• Ensure the club webpage and social media feeds provide up to date and relevant information

• Correspond with Brookes Sport’s Marketing & Engagement Manager on club activities and events

• Attend the committee meetings

• Review the Club Development Plan ensuring completion

The Social Secretary is a prominent and influential role within a club as they are responsible for building an inclusive and safe environment where everyone can enjoy themselves. The role is to provide a friendly, warm and welcoming environment for students through a range of social activities.

Main responsibilities:

• Review the Club Development Plan ensuring it includes a range of social events for all members to participate in throughout the year

• Working with the Wellbeing Officer, bring club members together ensuring a fun but safe experience

• Promote the Brookes Behaviour Policy and adhere to the Brookes Sport Behavioural Contract within the club and practice anti-discriminatory practice

The Team Captain is an important role in the day to day running of each team. Team Captains are responsible for organising their team on and off the field of play and therefore have a major impact on the success of the club overall. 

Main responsibilities:

• Support fair selection processes for team selections, including BUCS and competition teams, Rivalry fixtures against University of Oxford, and the annual Reading Varsity

• Main point of liaison between the club and Brookes Sport for BUCS and other competition administration

• Liaise with TEAMBrookes staff and Sports Coaches to plan and deliver effective technical training sessions

• Support the Treasurer in ensuring all selected student-athletes have paid their TEAMBrookes Membership fee to enable them to take part in competition

• Instil a positive team culture, both on-and-off the field of play to liaise with and welcome opposition teams, match officials, travel personnel (drivers), and spectators are encouraged by the environment and feel safe and included

• Promote the Brookes Behaviour Policy and adhere to the Brookes Sport Behavioural Contract within the club and practice anti-discriminatory practice

• Work with the President and Brookes Sport to manage any conflict: declaring, recording and managing these appropriately
