Your Oxford Brookes email and calendar

At Oxford Brookes, our email, calendar, document storage and sharing (Google Drive), video (Google Meet) and instant chat are provided by Google Workspace

You can set up and access your email, calendar and other online University systems from Monday 12 January onwards. Please note you must have completed online enrolment before you can access your email and calendar.

You will need to set up your Oxford Brookes email account before you can access the other Google Workspace tools. You are advised to use a Chrome browser when using these applications.

Setting up your email

You will need your User ID (student number) and the password you used for online enrolment.

Go to the sign-in page for Google Accounts.
In the ‘Email or phone’ box, enter your student number followed by @brookes.ac.uk. For example, 19000000@brookes.ac.uk. Then click next.
Enter your password (the same password you used for online enrolment).
Follow the instructions on protecting your account.
Activate the two-step verification feature.

It is important to activate the two-step verification feature which adds an extra layer of security to your account by sending you an extra code to access your account. You will find this feature in your Google Account settings. More information is available from Google Workspace support.

We recommend installing the Gmail app for easy access to your emails.

Other online platforms

You'll be able to use the same login information to access other important online platforms like Moodle and your Student Information.

Setting up your calendar

Once you have set up your Oxford Brookes email, you can then access your Oxford Brookes calendar.

Your Google calendar will have the most up-to-date information about your teaching timetable, including rooms and any online events. You will only find your teaching timetable in your Google calendar once you are fully enrolled. If you have optional modules to register, these will appear in your calendar 24 hours after you complete your module registration.

Access your calendar on a PC or laptop

Log into your Oxford Brookes email account as above
Click on the Google Apps icon in the top right corner and select 'calendar'.

Access your calendar on your mobile or tablet

Download the Google Calendar App - you can get this from your usual app store.
Log in to the app via your Brookes email and password as above.

We recommend also installing the Google Drive app.

Setting the time zone

If you are an international student studying in the UK and you download the Google Calendar App on your personal devices, you need to update the primary time zone. Go to the Google calendar settings, click on Time Zone and select (GMT+00:00) United Kingdom Time.

I can't remember my User ID (student number)

You can retrieve your User ID by entering your personal email address that is linked to your Oxford Brookes account.

If you need to update your personal email address you can do this via UCAS or by emailing enrolment@brookes.ac.uk.

I can't remember my password

You can reset your Oxford Brookes account password by entering your User ID (student number) or the personal email address that is linked to your Brookes account. An email to reset your password will be sent to your personal email linked to your Oxford Brookes account.

If you need to update your personal email address you can do this via UCAS or by emailing enrolment@brookes.ac.uk.

I'm trying to log in but I'm getting a message that says 'account not found'

Please check you have done all the following:

Have you completed your online enrolment?
Are you signing in to either the Gmail homepage or the Gmail app?
Are you using the correct email, which is your student ID followed by @brookes.ac.uk? (Please note the correct spelling of 'Brookes')
Are you using the correct password, which is the same one you used to enrol?
If you are using a phone, have you tried using a laptop or PC? We recommend this for your first login.

If the answer to all the above is yes, please try doing a password reset using this link.

If this does not resolve your problem, please report the issue via the Oxford Brookes IT services online portal. You'll need to sign into the portal using your student number and password. If you can't sign in, please click 'Problems logging in?' to report the issue as a guest user instead.

I can only see my personal Gmail account, not my Oxford Brookes email account

Have you already logged in on your devices with a personal Gmail account? If so, when you go to the sign-in page to create your Oxford Brookes email account, it will automatically take you to your personal Gmail instead. If this happens, click on the top right corner of your Gmail account page and select 'Add another account'. You'll then be able to follow the instructions above to add your Oxford Brookes account too.

I've completed all the steps, why can't I see my calendar?

Please note your teaching timetable will only appear on Google calendar, not the default calendar already on your device. Some devices may use Google calendar as the default - if so, make sure you are logged in with your Oxford Brookes email credentials. If you are logged in to Google calendar with your personal email, you won't be able to see your Oxford Brookes timetable.

My calendar doesn't look complete.

Your teaching timetable will be on your Google calendar and will normally be updated within 2 working days of you enrolling (unless you enrol before Monday 12 January, the earliest date most students can access their emails and calendar).
